Summary:
The Senior Administrative Assistant will provide high-level administrative support for the Bio-Surveillance Activities under the Viral and Zoonotic Disease Research and Infection Control Programs. The position requires a dynamic professional with strong organizational, communication, and project coordination skills to support research, training, procurement, and reporting functions. The candidate will work closely with scientific and operational teams, both in Egypt and internationally, to ensure efficient and compliant program operations.
The work under this contract will be performed at the U.S. Naval Medical Research Unit EURAFCENT offices in Cairo, Egypt, or at other designated locations in special circumstances.
Essential Job Functions:
- Provide executive-level administrative support to scientific and project management teams involved in laboratory surveillance and public health research.
- Assist in tracking and documenting laboratory surveillance activities including data entry, formatting scientific reports, and maintaining program documentation.
- Coordinate and manage logistics for training, meetings, procurement, and travel related to program operations.
- Support the execution and tracking of external quality assurance (EQA) efforts, follow-up site visits, and training coordination in Egypt and international partner locations.
- Maintain and update detailed records and reports for monthly and weekly program deliverables, and support timely submission to the Principal Investigator (PI).
- Manage supply chain documentation including procurement tracking, inventory management, and coordination with local and international vendors.
- Assist with document preparation including protocols, standard operating procedures (SOPs), grant documents, proposals, and correspondence.
- Support budget and grant planning coordination in collaboration with program management and PI.
- Interface with Egyptian government agencies, university collaborators, and military stakeholders to support mission success.
Necessary Skills and Knowledge:
- Knowledge of office management systems, procedures, and project management.
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular).
- Excellent time management skills and the ability to prioritize work and multi-task.
- Excellent written and verbal communication skills.
- Ability to work both independently and on a team in an interdisciplinary environment.
Minimum Qualifications:
- Bachelor’s degree in Administration or any related field.
- Experience working with federal agencies in Egypt.
- 10 years’ prior work experience in Administration position related to public health activities.
- Fluency in Arabic and English required.
- Travel Requirements: Travel may include Djibouti, Jordan, Nigeria, and other countries in Africa and the Middle East, depending on research requirements.
- Must be a US citizen.
