Job summary:
The Senior Collection Specialist is responsible for overseeing the collection process and resolving any issues that arise while ensuring efficient and timely payment from customers. This role requires strong communication and negotiation skills, as well as a solid background in finance. The specialist will be involved in coordinating with clients, managing overdue payments, and adhering to company policies to facilitate smooth and successful collections.
Tasks and Responsibilities:
- Proactively follow up with customers via email and calls to collect payments before the due date.
- Handle and resolve any issues or disputes that customers face during the collection process.
- Respond to client inquiries, addressing concerns or questions promptly and professionally.
- Re-send invoices and reminder statements to clients as necessary.
- Analyze clients’ payment history to tailor communication strategies for collection and minimize delays.
- Ensure all collection activities comply with company policies and procedures.
- Negotiate payment arrangements and follow up to ensure timely payment.
- Finalize daily transactions, referring any outstanding issues to the collection manager for further action.
- Prepare a prioritized list of overdue payments, categorizing them by severity of delinquency.
- Collaborate with the sales team and senior management when needed to accelerate the collection process.
- Handle collections involving governmental sectors.
- Prepare and maintain forecasting sheets for payment collections.
- Monitor the invoice receiving process to ensure smooth operations.
Requirements:
- Bachelor’s degree in Business Administration or a related field from a reputable university.
- 3-6 years of experience in collections, finance, or a related role.
- Fluent in English (both written and spoken).
- Ability to work effectively under pressure.
- Strong multitasking and time management skills.
- Excellent attention to detail.
- Proficient in Microsoft Office Suite.
- Must have a background in finance and strong financial knowledge.
- Strong problem-solving and conflict resolution skills.
- Excellent communication skills, both verbal and written.
- Experience dealing with difficult customers and negotiating complex payment terms.
- High flexibility and the ability to manage time effectively.
- Previous experience in the IT industry is a plus.
- Familiarity with financial systems, especially Great Plains (GP), is highly desirable.
