Job Position: Virtual Transaction Coordinator
Position Summary:
We are hiring a remote Transaction Coordinator to manage deals from the moment a contract is signed through closing. You’ll review title reports, order lien payoffs, and resolve title issues to ensure timely, smooth closings. You must be video-present on Zoom during work hours and track your time using Time Doctor. This is a fast-paced, detail-heavy role that requires strong title knowledge and great communication.
Key Responsibilities:
- Manage all parts of the transaction process, from signed contract to close, with accuracy and efficiency
- Review title reports for liens or exceptions, and work with title reps and stakeholders to clear any issues
- Order payoffs for mortgages or liens, confirm amounts, and ensure timely delivery to title
- Communicate with attorneys, lenders, and title companies to resolve title complications
- Prepare and organize all transaction documents, like contracts, disclosures, and settlement statements, and upload to our CRM (Podio)
- Serve as the point of contact for buyers, sellers, and title reps, keeping them informed and setting expectations
- Maintain compliance and accuracy across all files, communication, and deadlines
- Stay on Zoom video throughout the workday for real-time team collaboration and log time via Time Doctor
Day-to-Day Activities:
- Review title reports and flag any issues needing resolution
- Coordinate with title companies to move deals forward and resolve problems
- Provide consistent updates to all parties via Zoom, phone, or email
- Confirm document accuracy and upload all paperwork to Podio
- Identify problems early, troubleshoot, and escalate when needed
- Share ideas for improving virtual processes and efficiency
Key Performance Indicators (KPIs):
- Close at least 10 transactions per month
- Resolve 100% of title issues before scheduled closing
- Achieve a 98% accuracy rate in documentation and CRM updates
- Maintain strong client satisfaction through clear, proactive communication
- Ensure 100% compliance with legal and company standards
Skills and Experience Required:
- 1-2 years experience in transaction coordination and title review
- Solid understanding of title reports and how to resolve related issues
- Sharp analytical and problem-solving skills
- Clear, professional written and verbal communication
- Strong computer skills, including Microsoft Office and CRMs (Podio a plus)
- Ability to manage multiple contracts, timelines, and details
- Comfortable working remotely, staying on Zoom, and using Time Doctor

Working Conditions:
- 100% remote role with required Zoom presence and high-speed internet
- Work hours are 9:30am to 6:30pm EST, Monday through Friday, with a 1-hour unpaid break

Salary:
- $6 to $8 per hour depending on experience
- Plus commissions:
- $25 per closed deal
- $25 for every 5-star Google review
Schedule:
- Monday through Friday
- 9:30am to 6:30pm EST
- 1-hour unpaid lunch
- Must stay on Zoom video for full shift
