Job Purpose:
To oversee and manage all administrative functions of the organization, ensuring smooth and efficient office operations, compliance with internal policies, and support to other departments in achieving their objectives.
Key Responsibilities:
Office Management:
Supervise daily operations of the administrative department.
Ensure a clean, secure, and well-maintained working environment.
Manage office supplies, equipment, and facility services.
Administrative Systems & Processes:
Develop and implement administrative systems, procedures, and policies.
Ensure records management systems are up-to-date and properly maintained.
Vendor & Contract Management:
Manage relationships with external service providers (e.g., cleaners, security, maintenance).
Negotiate contracts and ensure cost-effectiveness.
Staff Supervision:
Lead and manage administrative staff, including receptionists, clerks, and office assistants.
Conduct training and performance reviews.
Budgeting & Cost Control:
Prepare and monitor the department’s budget.
Track expenses and suggest cost-saving initiatives.
Support Services:
Coordinate logistical support for company meetings, events, and travel arrangements.
Ensure timely communication and administrative support across departments.
Compliance & Reporting:
Ensure compliance with company policies, legal requirements, and health & safety regulations.
Generate periodic administrative reports for senior management.
Requirements
Qualifications & Requirements:
Bachelor’s degree in Business Administration, Management, or related field.
5+ years of experience in office or administrative management.
Strong leadership and organizational skills.
Excellent written and verbal communication.
Proficient in MS Office Suite and administrative software.
Knowledge of procurement and facility management is a plus.
