Role Purpose
The Digital Healthcare Engagement & Operations Sr. Specialist is integral to the seamless execution of sales operations, encompassing invoice and purchase order management, vendor relations, and event coordination. This role demands a meticulous individual with exceptional organizational and communication skills to bolster the sales team and elevate customer satisfaction.
Job Profile
Invoice and Purchase Order Processing:
• Receive and collect invoices from vendors/suppliers and governmental & private sectors.
• Verify invoices against corresponding purchase orders and delivery receipts.
• Review invoices for accuracy, including quantities and prices.
• Achieve collection targets.
Payment Management:
• Coordinate with the finance team to ensure timely and accurate payment of invoices.
• Follow up on outstanding invoices and manage payment reminders.
Vendor Management:
• Establish and maintain positive relationships with vendors/suppliers.
• Address vendor inquiries and resolve issues related to purchase orders or invoices.
• Negotiate terms and conditions with vendors, including payment terms.
Event Planning and Execution:
• Plan and coordinate events, conferences, workshops, webinars, and customer engagement programs in collaboration with the marketing team and external affairs team
Team Collaboration:
• Collaborate with cross-functional teams such as marketing, product development, design, and external agencies to align marketing strategies and achieve common objectives.
• Support the finalization of contractual agreements with new strategic partners.
Sales Data Management:
• Maintain and update the customer database, ensuring all relevant information, such as contact details, interactions, and sales history, is accurately recorded.
Sales Team Collaboration:
• Work closely with the sales team to support their efforts in achieving sales targets, including coordinating sales events and providing feedback on customer preferences and needs.
Qualifications and Competencies
• Bachelor’s degree in Business administration, Marketing, or a related field.
• Proven experience of 3-4 years in sales support or vendor management.
• Strong organizational and multitasking skills.
• Excellent communication and negotiation abilities.
• Proficiency in Microsoft Office Suite.
• Commercial background is required.
Skills:
• Detail-oriented with strong analytical skills.
• Self-motivated with the ability to work independently and as part of a team.
• Problem-solving skills and a proactive attitude.
• Ability to manage multiple tasks and deadlines effectively.
• Effective communication skills in both written and verbal formats, with proficiency in Arabic and English.
