Operational
- Assist in the initial screening of grant applications for completeness and compliance with guidelines.
- Support budget and document reviews by collecting and organizing submitted materials.
- Coordinate scheduling of meetings, site visits, and communication with grantees.
- Enter and update grant data and related documentation in Dynamics 365 CRM and internal tracking tools.
- Draft simple correspondence, reminders, and template-based communications to grantees.
- Coordinate with internal departments to gather scopes of work and technical specifications for procurement needs.
- Prepare and submit internal Purchase Requisitions (PRs) for staff, consultant services, and programmatic requirements.
- Source and compile competitive financial quotations from pre-approved vendors in line with procurement policies.
- Draft Statements of Proposals (SOPs) and vendor comparison tables to support due diligence and decision-making.
- Track procurement requests, follow up on approvals, and support the timely issuance of contracts and service agreements.
- Maintain accurate and up-to-date procurement records on internal systems, ensuring traceability and compliance.
- Monitor the delivery of goods and services, ensuring alignment with contracts, budgets, and invoicing terms.
- Ensure procurement documentation is organized, audit-ready, and aligned with internal control standards.
- Support other procurement and grant-related tasks assigned, contributing to compliant and effective program delivery.
Knowledge & Skill
- Computer literacy and ability to integrate technology in the workplace (Knowledge of Excel, Data Entry)
- Strong Organizational skills and attention to detail.
- Effective written and verbal communication in English
- Strong understanding of grant-making processes
- Flexible and able to adapt to a dynamic working environment, and remote working
Experience
1–3 years of experience in procurement, grant administration, operations support, or a related administrative function, ideally within the nonprofit, education, or development sectors.
