What you will do
- Optimize the CEO’s schedule, ensuring seamless coordination of meetings, events, and personal commitments.
- Maintain and manage an active electronic calendar using mobile applications for efficient scheduling.
- Plan and manage the CEO’s business travel, including flight bookings, accommodations, visa arrangements, and itinerary preparation.
- Coordinate travel logistics for conferences, meetings, and other engagements.
- Prepare confidential correspondence, reports, itineraries, and agendas as required by the CEO.
- Manage sensitive tasks and documents with the utmost professionalism and discretion.
- Ensure all documents are accurate, well-structured, and delivered promptly.
- Track and follow up on key projects and assignments to ensure timely execution.
- Proactively anticipate the CEO’s needs and provide strategic administrative support.
- Serve as the primary liaison between the CEO’s office and internal/external stakeholders.
- Foster strong communication and relationships within and outside the organization.
- Maintain and organize the filing and archiving systems for easy retrieval of corporate documents, records, and reports.
- Attend meetings to compile, transcribe, and distribute minutes as required.
To succeed in the role, you’ll need to have:
- Exceptional English language proficiency, both written and verbal.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant tools.
- Minimum of 4 years of proven experience as an Executive Assistant, preferably supporting C-level executives.
- Outstanding organizational and time management skills.
- Ability to multitask and prioritize effectively in a dynamic environment.
- Strong interpersonal and communication skills.
- High level of discretion and confidentiality.
- Proven ability to handle sensitive information with professionalism and tact.
