Objectives:
- Ensure the maintenance and good condition of the buildings and equipment of the offices.
- Supervise the execution of the different Facilities Management contracts.
- Monitoring soft facilities for all buildings and sites including housekeeping, buffet supplies and office boys
Measurement:
General performance indicators are:
- Respect for the different Facilities Management Budgets.
- Respect for the deadline of needed services.
- Provide the needed monthly reports.
- Respect for the preventive maintenance plan.
Responsibilities:
- Manage and arrange for regular maintenance of equipment and internal systems. (e.g., Electricity, Plumbing, AC, Carpentry, Fire Fighting, Dispenser sterilization, alarms)
- Set KPI and SLA for all suppliers.
- Check rooms and furniture to identify needs for repairs or renovations.
- Organize and supervision for any new head office refurbishment or move.
- Manag restocking office and kitchen supplies.
- Design and oversee the schedule for cleaning and disinfecting the building.
- Monitor proper waste disposal and recycling.
- Monitor to fix minor malfunctions in office equipment.
- Coordinate office and parking space allocation.
- Track of regular and ad-hoc facility expenses.
- Support the Sourcing team in evaluating new vendors for facility services.
- Maintain an updated record of invoices from external partners. (e.g., suppliers, insurance agents, security guards)
- Research new services and appliances to facilitate operations.
- Ensure compliance with Alstom Environmental, Health and Safety policies & procedures.
- Follow the buffet and office supplies collection for all Project’s offices.
- Create and submit the monthly report of consumptions, maintenance logs, function expenses, etc.
- Create PR’s & GR’s.
- Create tracking sheets for all facilities maintenance and buffet supplies.
- Offices quarterly inspection.
