POSITION DESCRIPTION
To provide administrative and organizational support to the English Language Department, ensuring smooth day-to-day operations, efficient communication, and proper maintenance of academic and departmental records.

RESPONSIBILITIES
Tasks and responsibilities for this position include, but are not limited to, the following:
  • Assist the Head of Department (HOD) and the team members with administrative tasks
  • Prepare and manage departmental correspondence, reports, and documents
  • Schedule and coordinate departmental meetings, prepare agendas, and take meeting minutes
  • Maintain and update faculty schedules, class timetables, and exam calendars
  • Handle communication between the English Department and other departments, students, or external contacts
  • Support the coordination of assessments, exams, and grading processes
  • Organize and maintain files and records, both electronic and hard copy
  • Assist in organizing department-related events, workshops, and training sessions
  • Monitor inventory and request supplies for the department as needed
  • Handle student queries and guide them to the appropriate resources or personnel
  • Perform other related duties as assigned by the HOD or Academic leadership

QUALIFICATIONS AND SKILLS

Required
  • Bachelor’s degree in any discipline
  • 0-2 years of admin work experience
  • Effective communication skills (written and oral)
  • Good command of MS Office
  • Ability to multi-task, and work both as a team and independently

Preferred
  • Ability to work under pressure
  • Prior work experience or internship in a NGO
  • Detail-oriented
  • TOEIC score of 650 or equivalent

WORK ENVIRONMENT
The incumbent in this position will work in a professional office environment and will utilize the following equipment when working from the corporate office or remote home office (either on a full time, temporary, or hybrid basis)

  • Computer (laptop or desktop)
  • Printer/Photocopier/Scanner/Fax
  • Telephone
