To provide administrative and organizational support to the English Language Department, ensuring smooth day-to-day operations, efficient communication, and proper maintenance of academic and departmental records.

POSITION DESCRIPTION
To provide administrative and organizational support to the English Language Department, ensuring smooth day-to-day operations, efficient communication, and proper maintenance of academic and departmental records.
RESPONSIBILITIES
Tasks and responsibilities for this position include, but are not limited to, the following:
- Assist the Head of Department (HOD) and the team members with administrative tasks
- Prepare and manage departmental correspondence, reports, and documents
- Schedule and coordinate departmental meetings, prepare agendas, and take meeting minutes
- Maintain and update faculty schedules, class timetables, and exam calendars
- Handle communication between the English Department and other departments, students, or external contacts
- Support the coordination of assessments, exams, and grading processes
- Organize and maintain files and records, both electronic and hard copy
- Assist in organizing department-related events, workshops, and training sessions
- Monitor inventory and request supplies for the department as needed
- Handle student queries and guide them to the appropriate resources or personnel
- Perform other related duties as assigned by the HOD or Academic leadership
QUALIFICATIONS AND SKILLS
Required
- Bachelor’s degree in any discipline
- 0-2 years of admin work experience
- Effective communication skills (written and oral)
- Good command of MS Office
- Ability to multi-task, and work both as a team and independently
Preferred
- Ability to work under pressure
- Prior work experience or internship in a NGO
- Detail-oriented
- TOEIC score of 650 or equivalent
